PRML PRIVACY POLICY
Percuil River Moorings Ltd (PRML)
PRML is a locally run, mooring licence operation continuing the tradition of non-maintained moorings for the mutual benefit of mooring licensees on the Percuil River.
As an organisation that collects some personal data, PRML is required to have a Privacy Policy that sets out defined aspects of how that data is kept private in line with General Data Protection Regulations (GDPR). The Directors are committed to protecting and respecting your privacy. This Policy applies to all personal data held, regardless of the format in which it is stored. This Policy applies to Board Members, other Members and Employees, both past and present.
GDPR
The General Data Protection Regulations (GDPR) came into force on 25th May 2018 and require that PRML obtain explicit consent from all parties we deal with to obtain, store and process personal data. The personal data we require and hold includes:

PRML will ensure the accurate recording of data provided and will amend any errors or inaccuracies without undue delay once they become known. This information is required and used only for the purposes of managing the moorings on the Percuil River in accordance with the objects of the Company. It is not provided to others for any purpose other than the objects of the Company. In the absence of your agreement to the Company holding and using this data as set out above, the Company will have to remove you from its database and you will cease to be a licence holder or have any other PRML related business.

What information is collected and how.
PRML collects and holds information provided by licensees and others (such as those on the Waiting List, sub-licensees, local boatyards and Approved Mooring Contractors). This information is provided to us by completing the various PRML forms, emails or from contacting us via this website. We also retain correspondence to the Company and any information contained therein.
As a result of information provided to us, PRML holds personal data, names, postal addresses, telephone contact details and email addresses. This information is linked to boats, mooring details and information related to the payment for, use and servicing of the mooring through a database and other digital and hardcopy means.
We do not accept payments by card and will therefore never ask for your bank or credit card details for the payment of our invoices. We advise that correspondents with PRML should never put their bank account details into an email to the Company.
How is the information used.
The information collected is used for the business purposes of PRML to manage and administer the moorings and to communicate with licensees and others (including but not limited to those on the Waiting List, sub-licensees, local boatyards and Approved Mooring Contractors). This use includes, but is not limited to, contacting licensees and others, the creation of invoices, identifying boats and their owners, monitoring use of moorings, allocation of moorings, circulation of information related to the use of PRML moorings and all other related matters.
Without prior permission, personal data will only be shared with any third party for the purposes of PRML managing the moorings or boats on them in an emergency for safety on the River, or if PRML is under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to protect the rights, property or safety of PRML, our licensees or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.
How is the information stored and protected.
The information is securely stored in both hard copy and digitally within various industry standard software on the Company Administrator’s computer. Firewalls and virus checkers are used on computers, equipment is password protected, operating systems are updated and equipment is disposed of securely.
As required in the performance of their duties, extracts from the information held are on occasion downloaded and provided to Directors of the Company. Unless guilty of negligence PRML Directors will not be held personally responsible for the loss or theft of personal data. Neither the database nor the extracts are accessible ‘on line’ beyond the emails bearing the data. The database is not accessible through the PRML website.
Website Analytics.
This website is monitored by Google Analytics and Wordfence both of which collect data about use of the website. Likewise our mailing system to licensees and others collects analytical data.
Our website may, from time to time, contain links to and from websites of other organisations connected with the interests of PRML or its licensees. If you follow a link to any of these please note that these websites will have their own privacy policies and PRML does not accept any responsibility or liability for these policies.
Opt out of information storage.
It is a condition of the PRML Mooring licence that annual renewal involves sending the application form to the licensee and the licensee providing the information required on the application form. (Licence Condition 4)i)).
Data retention.
Data held by PRML for the purposes set out above is retained for the ongoing operation and management of the Company. Personal data is retained for no longer than necessary for the purposes for which it was collected. Aside from legal, regulatory or financial data which will be retained whilst PRML remains in existence, personal data will be held for a period of 7 years after cessation of a business relationship with PRML and will thereafter be physically destroyed or deleted from any electronic database. For paper records this will mean by shredding or burning. For electronic records this will be by permanent deletion beyond recovery. Data will be removed immediately upon request unless there is any legal requirement to continue to hold such data.
Data Subject Access Request (DSAR)
You have a right to know what data PRML holds about you. If you would like to request a DSAR, please apply to the PRML via the contact details provided at the bottom of this page. Our preferred method for communications is via email. The postal address mailbox is not checked on a daily basis.
Changes to our privacy policy
Any changes we may make to PRML’s privacy policy will be posted on this page. This Policy will be reviewed annually and updated as necessary to ensure compliance with laws and regulations.
